Terms of service
Last updated 31 August 2026. These terms are written to be read, not to be impenetrable. If something here is unclear, ask before you agree to it.
1. Who this agreement is between
Klosum is operated by PMV Digital ("we", "us"). It is sold two ways, and which one applies to you changes who you deal with:
- Direct — you are an HVAC contractor who bought from us. Your agreement is with us.
- Through an agency — you bought from a marketing agency who resells this product under their own name. Your agreement is with that agency. They set your price, they invoice you, and they are who you contact for support. We provide the software to them.
If you are an agency reselling this product, your agreement is with us, and you are responsible to your own contractors for the service you sell them.
2. What the service does
Klosum records HVAC installations: equipment details, serial numbers, photographs, permit and inspection status, warranty registration status, and the homeowner's acceptance. It applies a set of configurable rules to that record and will not produce a certificate of installation until the record is complete.
3. What it is not — read this one
Klosum is not legal, regulatory or code compliance advice. The rules it applies — efficiency minimums, refrigerant cutovers, permit requirements, rebate thresholds — are configurable settings that default to one jurisdiction and are yours to set correctly for where you work. They can be wrong, out of date, or inapplicable to your job.
A certificate produced by Klosum is a record of what was entered and photographed. It is not a permit, not an inspection, not a manufacturer's warranty registration, not a rebate approval, and not a statement that an installation complies with any law or code. You remain responsible for pulling permits, passing inspections, registering warranties within the manufacturer's window, and meeting every requirement that applies to your work.
We are not liable for a rebate that is refused, a warranty that lapses, a permit that is not finaled, or an installation that fails an inspection.
4. Your account
You are responsible for who you give a login to and for what they do with it. Tell us straight away if you think a login has been compromised. Do not share one login between people — the audit record is only worth having if each action belongs to a named person.
5. Your data is yours
The installation records, photographs, customer details and certificates you create belong to you. Not to us, and not to your agency. You can export the complete set at any time from inside the product, in a machine-readable format, without asking anyone.
If you leave — for any reason, including non-payment — you keep the right to export. We will give you at least 30 days from the end of your access to take your data before it is deleted.
6. What we do with your data
We process it to run the service. We do not sell it, we do not use your installation records to train anything, and we do not share them with other customers. The privacy policy sets out the detail, including the third parties who process data on our behalf.
7. Payment
If you bought through an agency, they set your price and they bill you. Ask them about refunds, changes and cancellation. If you bought from us directly, fees are stated at the point of sale, billed in advance, and you can cancel effective at the end of a paid period. We do not offer refunds for time already served unless the service was unusable and we could not fix it.
8. Availability
We aim to keep the service available and we do not currently offer a contractual uptime guarantee or service credits. We are telling you that plainly rather than burying it. If you need a formal SLA, ask before you sign — do not assume one exists.
We may take the service down for maintenance. We will avoid doing that during business hours where we reasonably can.
9. Acceptable use
Do not upload anything unlawful. Do not use the service to store records for work that was never done. Do not attempt to reach another company's data, break the service, or test its security without our written permission — responsible disclosure is welcome, and you can reach us at the address below.
10. Suspension and termination
We may suspend an account for non-payment, for a serious breach of these terms, or where continued access is causing damage to the service or another customer. Where the reason allows it, we will tell you first and give you a chance to fix it. Section 5 still applies: you get your data.
11. Liability
To the extent the law allows, our total liability to you for any claim is limited to the fees you paid for the service in the twelve months before the claim. We are not liable for lost profits, lost rebates, lost warranty coverage, or indirect losses. Nothing here limits liability that cannot lawfully be limited.
12. Changes
We may change these terms. If a change materially reduces what you get, we will give you reasonable notice by email before it takes effect. Continuing to use the service after that means you accept the change.
