Install closeout for HVAC shops

The job is not done
when the unit fires.

Register the warranty. Shoot the six photos. Get the permit number. Hand the homeowner a certificate with your name on it. Do it in the driveway, or it does not get done.

$149/month. $199 to set up. Works next to Jobber and Housecall Pro. Does not replace them.

The window closes quietly

Miss the manufacturer window and parts coverage drops from 10 years to 5. Goodman is 60 days. The homeowner finds out in year 7, when the compressor dies. They call you.

THE REBATE

You already gave the discount

You took it off the invoice. The utility pays you after the inspection is finaled. No final, no check. That money already left.

THE SALE OF THE HOUSE

It surfaces at closing

Unpermitted work shows up at closing. Fines run $500 to $5,000+ in a lot of cities. The homeowner remembers who put the system in.

What it is

Three screens.
That is the whole product.

1

The tech, in the driveway

A phone checklist that will not let him drive off with a hole in the record.

  • Model and serial entered once, then reused on the certificate, the rebate packet, and the warranty record
  • Six required photos. The job cannot close until they exist.
  • Pairing checked against refrigerant and SEER2 rules before it goes in
  • Homeowner sign-off on site
2

The office, on Monday

Not a task list. A recovery queue.

  • Rebate dollars discounted and not yet recovered
  • Blocked jobs, biggest first
  • A warranty clock per install that fills as the window closes
3

The page that leaves the building

A certificate of installation with your company name, license, and colors. Equipment, serials, efficiency, refrigerant, permit, photos. Prints or saves as PDF. Your agency is not named on it. You are.

What it is not

Keep what you
already run.

This does not replace ServiceTitan, Jobber, or Housecall Pro. Those run the calendar, the invoice, and the dispatch. This is the closeout they leave to you: prove the install was permitted, registered, and documented before the deadline.

You can keep CompanyCam for extra photos. This is the list that has to be finished or the job stays open.

Start to finish

How a job closes

  1. Tech opens the job on his phone.
  2. Scans or types the outdoor and indoor serials once.
  3. Shoots the six photos. Missing permit tag = cannot close.
  4. Homeowner signs.
  5. Office sees the warranty clock start. Rebate and inspection stay on the board until they are done.
  6. Homeowner gets the certificate.

Get this on the trucks

One missed registration on a compressor in year 7 is often $1,100–$2,500 in parts. That is a year of this, plus change.

Questions

Straight answers

Will my techs have to learn another system?

They get a phone checklist with big photo buttons. If a required shot is missing, the job will not close. That is the training.

Does this replace Jobber or Housecall Pro?

No. Keep them. This sits on top and does closeout: photos, serials, permit, warranty window, rebate follow-up, certificate.

Who registers the warranty?

You do, from the record the tech already captured. Serials are not retyped from a crumpled invoice two weeks later.

What if a homeowner already had CompanyCam photos?

Fine. This still requires the six closeout shots, the serials, the permit number, and the sign-off. Extra photos do not close the job.

Is this the only software that does this?

No. Photos, permits, and warranty registration already exist in other tools. This is one closeout path that blocks an unfinished job and hands the homeowner a certificate with your name on it.

What does it cost?

$149/month per shop. $199 setup. $99/month if you already pay PMV Digital for your website or marketing.

Can I export my data?

Yes. Jobs, users, photo list, and audit history in one file if you leave.
